What will you do?


Production and Supervision

  • Oversee and support day to day work of Shareholder Services administration and ensuring accurately and timely execution of agreed process.
  • Adhere to key service level agreements and support coaching to COO, SCOO and intern.
  • Perform quality checks or second level validation on output from the team.
  • All deadlines need to be monitored, and any issues escalated and communicated appropriately to stakeholders and clients.
  • Ensure that escalation protocol to Management is strictly adhered to in case of operational issues and events.
  • Responsible for supporting the manager in guiding the team and serving as the main contact when manager is unavailable.
  • Proposing ideas/recommendations to enhance processes for increased efficiency in service delivery.

Monitoring & Escalation

  • Act as first escalation point for the Shareholder Services oversight, execution of complex process and control functions, ensure high quality of allocated deliverables and providing backup relief to for staff and deal with escalated issues/queries.
  • Monitor individual and team performance, providing regular feedback and coaching to address performance issue and encourage development.
  • Identify and address obstacle or challenges that may impede team progress or performance.

Risk Management

  • Maintain effective process controls and procedures are documented, maintained and adhere to.
  • Mitigate the risk of errors by suggesting appropriate controls and enhancing procedures.
  • Maintain comprehensive records for future reference and audit purposes.

Candidate criteria

Minimal education level

Bachelor Degree / BSc Degree or equivalent

Academic qualification / Speciality

  • Bachelor’s degree and/or master’s degree in accounting, Finance or related field
  • Minimum 4 years in relevant Shareholder Services/Transfer Agent operational knowledge and experience
  • Experience in Shareholder Services and /or Transfer Agent Services and/or Business Administration with a focus on preferably fund structure

Level of minimal experience

3-5 years

  • Technically proficient shareholder service control and procedural knowledge
  • Robust shareholder services and workflow management experience

Technical skills required

  • Shareholder services system knowledge: YARDI or equivalent applications
