What will you do?

Client Data Setup & Maintenance

  • Oversee the accurate creation, validation, and maintenance of client static data across internal systems during onboarding and lifecycle updates.
  • Ensure completeness and accuracy of client data to support downstream operational processes.

Client Onboarding Support

  • Work closely with onboarding teams, relationship managers, and compliance functions to facilitate smooth and timely onboarding of new clients.
  • Review onboarding documentation to ensure correct data capture and system configuration.

Data Quality & Controls

  • Maintain strong operational controls and quality checks to ensure high levels of data accuracy and integrity.
  • Investigate and resolve data discrepancies, ensuring root causes are identified and addressed.

Process Improvement

  • Identify opportunities to streamline processes, enhance data quality, and reduce manual intervention.
  • Support automation and system enhancement initiatives to improve onboarding efficiency.

Team & Operational Support

  • Provide guidance and oversight to analysts supporting onboarding and static data activities.
  • Monitor workflow priorities to ensure timely delivery of onboarding milestones and service readiness.

Production and Supervision

  • Coordinate with Onboarding team in home location and other stakeholders to ensure accurate creation, validation and maintenance of client static data during new client onboarding or subsequent maintenance request.
  • Oversee and support day to day work of Client Onboarding function’s administration and ensuring accurate and timely execution of agreed process.
  • Review and validate documentations to ensure correct data capture and system set-up.
  • Maintain strong data governance standards to ensure consistency, completeness and audit readiness of client records.
  • Ensure self and team’s compliance with internal policies, regulatory requirements and operational procedures.

What will you do?

Production and Supervision

  • Adhere to key service level agreements and support coaching to juniors within the team.
  • Perform quality checks or second level validation on output from the team.
  • All deadlines need to be monitored & any issues escalated & communicated appropriately to stakeholders & clients.
  • Ensure that escalation protocol to Management is strictly adhered to in case of operational issues and events.
  • Responsible for supporting the manager in guiding the team and serving as the main contact when manager is unavailable.

Monitoring & Escalation

  • Act as first escalation point for the Client Onboarding oversight, execution of complex process and control functions, ensure high quality of allocated deliverables and providing backup relief to for staff and deal with escalated issues/queries.
  • Monitor individual and team performance, providing regular feedback and coaching to address performance issue and encourage development.

Risk Management

  • Identify and address obstacle or challenges that may impede team progress or performance.
  • Maintain effective process controls and procedures are documented, maintained and adhere to.
  • Mitigate the risk of errors by suggesting appropriate controls and enhancing procedures.
  • Maintain comprehensive records for future reference and audit purposes.

Candidate criteria

Minimal education level

Bachelor Degree / BSc Degree or equivalent

Academic qualification / Speciality

  • Bachelor’s degree and/or master’s degree in accounting, finance or related field
  • Minimum 4 years in relevant Static Data Maintenance operational knowledge and experience

Level of minimal experience

3-5 years

Experience

  • Robust account maintenance workflow management experience
  • Ability to work independently and collaborate with the team to achieve collective goals

Technical skills required

  • Technically proficient operational controls and procedural knowledge
  • Ability to review Prospectus/ Operating Memorandum, SSI set up, SWIFT set up, custodian & sub custodian knowledge
  • Automation skills such as VBA, Python and etc. are added advantage
