Job summary

As Associate Director, you will play a key role in overseeing strategic facilities management, procurement operations, and OSH compliance supporting the Head of CPP&OSH in executing high-impact projects, managing vendor relationships, and driving efficiency in corporate premises management. 

A key focus will be on defining and tracking KPIs to measure vendor performance, cost efficiency, service quality, and workplace safety compliance. e.You will contribute to the transition towards Smart Facility Management (Smart FM) by integrating technology-driven solutions.

What will you do?
Corporate Premises & Facilities Management

  • Ensure smooth operation and maintenance of office premises, aligning with business needs, and create a welcoming atmosphere for employees and visitors.
  • Responsible for developing and implementing effective inspection, preventive and pro-active maintenance plans for CACEIS facilities.
  • Responsible for reliable asset performance review, timely risk mitigation to minimize cost and/or facilities unplanned breakdowns.
  • Support emergency response planning and crisis management activities.

Procurement & Vendor Management

  • Lead supplier negotiations, ensuring compliance with governance and sustainability standards.
  • Streamline procurement processes to enhance cost-effectiveness and efficiency.

Occupational Safety & Health (OSH)

  • Ensure compliance with OSH regulations and corporate safety policies.
  • Develop workplace safety initiatives to mitigate risks and promote a culture of safety, ensuring all employees are trained and aware of OSH policies.
  • Conduct audits, risk assessments, and emergency preparedness training.

Managerial Excellence

  • Manage and govern the outsourced service partner relationship, and other 3rd-party vendor relationships covering our Integrated Facility Management practice. 
  • Provide focus and clarity in establishing goals, driving performance management, supporting career development and rewarding strong performance.
  • Accept and successfully execute change while supporting employees through the process and keep them focused on business priorities.

Professional Advisory and Strategy

  • Establish and oversee an effective asset management strategy which allows CPP&OSH to advise business lines on lifecycle and capital planning.
  • Lead facilities efforts related to crisis resolution, incident management, and the lead role for CPP&OSH on Crisis Management Teams.
  • Develop and manage budgets for premises management and procurement activities.


Relationship Management

  • Own the relationships with all major business lines, ensuring full understanding of their workplace needs. Drive plans to proactively address those needs, consistently improving the quality, efficiency and cost of service delivery
  • Derive maximum productivity from the Service Partner collaboration with the outsourced providers.
  • Measure client satisfaction and take action to maintain or enhance

Candidate criteria

Minimal education level

Bachelor Degree / BSc Degree or equivalent

Academic qualification / Speciality

  • Bachelor’s degree or equivalent experience.

Level of minimal experience

6-10 years

Experience

  • 10 years of experience in facilities management, procurement, and OSH, with leadership exposure.
  • Strong project management and vendor management skills with proven experience in managing multiple projects with multi-functional teams on time and within budget.
  • Experience in defining and monitoring KPIs for performance tracking.
  • Proven knowledge of all aspects of facilities processes and CPP&OSH lifecycle
  • Experience in a financial institution or multinational company.
  • Strong analytical and problem-solving skills.
  • Ability to drive innovation in workplace strategies and procurement optimization.

Required skills

  • Knowledge of Smart FM technologies, sustainability practices, and workplace safety regulations.
  • Awareness of current sustainability practices, regulations, and trends impacting business practices and values.
  • Excellent communication and stakeholder management abilities to engage all stakeholders in constructive discussions and drive improvements.
